Implementation of Same-Day Cancellation Fees Starting April, 2026

At our clinic, we place great importance on creating an environment where patients can visit us with peace of mind. However, we have recently seen an increase in same-day cancellations and no-shows, which has resulted in situations where we are unable to offer appointment slots to other patients.

In fact, since our clinic opened in 2024, we have already had a cancellation fee system in place for surgical appointment slots only. From our opening until April 2026, over approximately one and a half years, there have been no same-day cancellations for surgeries.

On the other hand, cancellations have occurred for other doctor-related appointments, such as consultations and Botox treatments, and most of these cancellations have been made at the last minute, on the day of the appointment. About half of them were no-shows, and for cancellations where we did receive notice, the reason was often something such as “I forgot.”

Therefore, although we sincerely regret having to do so, we will begin applying cancellation fees for other appointments involving a doctor, including consultations and injections.

Please note that we will take unavoidable circumstances into consideration, such as traffic accidents, bereavement in the family, or a child’s illness.

This policy is being introduced in order to provide fair opportunities for medical care to all patients. We kindly ask for your understanding and cooperation.

Eligibility

This policy applies to appointments involving a doctor, including:

• Consultations with a doctor
• Treatments performed by a doctor, such as injections
• Surgical procedures performed by a doctor

Definition of Same-Day Cancellation

The following will be considered same-day cancellations:

• Cancellation on the day of the appointment
• Contact made after the scheduled appointment time
• No-show without prior notice

Cancellation Fees

1. Consultation with a Doctor

Same-day cancellation or no-show: ¥3,300

2. Treatment Performed by a Doctor (Injections)

Same-day cancellation or no-show: 30% of the scheduled treatment fee or ¥5,500, whichever is higher

3. Surgery Performed by a Doctor

When making a tentative or confirmed reservation for a surgical procedure, we will separately explain our “Surgery Cancellation Policy.” Please confirm the details at the clinic.

Late Arrival

If you arrive 15 minutes or more after your scheduled appointment time, your appointment may be treated as a same-day cancellation.

Depending on the treatment, we may need to change the procedure details or may be unable to provide the treatment.

Payment Method for Cancellation Fees

Cancellation fees may be paid by either of the following methods:

• Payment at your next visit
• Bank transfer
  Please note that bank transfer fees are the responsibility of the patient.

Exceptions

Cancellation fees may be waived in the following cases:

• Illness deemed valid by the doctor
  We may ask you to provide a medical certificate or other documentation.
• Unavoidable circumstances such as natural disasters or traffic accidents
• Bereavement in the family
• A child’s illness or other unavoidable personal circumstances

If any of the above apply, we will carefully review the situation and consider each case individually.

Important Notes

If cancellations are repeated, we may decline future appointments.

Same-day appointment changes are generally permitted only once. If same-day appointment changes occur repeatedly, we may decline future appointments.

Please contact us by 6:00 PM on the day before your appointment if you wish to change your reservation.
